Operations Coordinator – Move One

ROLE OVERVIEW.

This is a dual-role position encompassing responsibilities as UPS Operations Coordinator and Operations Coordinator for Cargo Product. The role requires strong multitasking ability, adaptability across both UPS courier operations and broader air, sea, and land cargo coordination.

UPS Operations Responsibilities

Import Operations

      Manage and process customs import manifests for N’Djamena, Chad, ensuring accuracy and timely completion.

      Process shipment arrivals in the UPS system and update government hold exceptions accordingly.

      Coordinate with the customs broker team at N’Djamena Airport for clearance and management of held shipments in line with each manifest.

      Liaise with the customs broker team and Move One warehouse to facilitate trucking of MAWBs between N’Djamena Airport and the N’Djamena office.

      Prepare and maintain the customs tracker in Excel for all cleared shipments, capturing customs duties, airport handling, and trucking charges where applicable.

      Generate receipts for cleared shipments for each MAWB, including UPS tracking details such as customs duties, disbursement fees, and brokerage fees in local currency.

        Ensure all supporting documentation is entered accurately into the customs tracker.

        Create jobs in Intrack for each manifest, including vendor costs and Move One sell rates.

        Report all import duty, tax, and document handover fee collections in the petty cash report and submit to the local finance team on the same day.

        Distribute duties, tax receipts, and documentation to respective drivers for chargeable and non-chargeable shipments based on assigned delivery routes.

        Prepare damage inspection reports with photographic evidence for damaged, lost, or missing-content shipments and escalate to the Operations Manager for evaluation.

        Perform inbound scans in the UPS Tundra system for all customs-cleared shipments.

        Update exception notifications in the system for any shipments held at N’Djamena customs, citing the reason for hold.

        Ensure drivers perform scans in UPS Global Pickup & Delivery (GPD) prior to each delivery.

        Update necessary exceptions in the Tundra system for shipments designated for self-collection or held for other reasons.

        Conduct daily follow-up on all shipments until delivery is confirmed and the manual POD is updated.

        Monitor all open import exception notifications daily via both the Excel tracker and the UPS system, ensuring closure within 10 days.

        Prepare free domicile receipts in USD as required by the system or UPS request.

        Submit weekly petty cash reports every Tuesday, including a full cost and sell breakdown, scanned free domicile receipts, and an Excel summary to the local finance team.

        Address customer complaints related to import operations and escalate unresolved issues to the Operations Manager.

        Create import control labels for walk-in customers in the WorldShip system and collect applicable charges and government-issued ID in advance.

Export Operations

        Create export labels for walk-in customers in the WorldShip system, collect freight charges in advance, and verify government-issued ID in compliance with UPS global security guidelines.

        Report all freight charge and document handover fee collections to the local finance team on the same day.

        Receive export shipments from account customers and resellers; conduct physical inspection and verify contents against invoices. In cases of restricted or prohibited items, notify the customer, arrange removal of non-compliant contents, and request revised invoices and packing lists.

        Scan AWBs, invoices, and packing lists (where applicable) into the UPS International Document Imaging System (IDIS).

        Manually update all export shipment pickup scans in Tundra TPD.

        Ensure all export shipments are departed from N’Djamena station upon completion of hand search, and send pre-alerts to the Erbil team.

        Address customer complaints related to export operations and escalate unresolved issues to the Operations Manager.

        Monitor all open export exception notifications daily via both the Excel tracker and the UPS system, ensuring closure within 10 days.

Part 2: Operations Coordinator – Cargo Product Responsibilities

        Coordinate air, sea, and land operations for both import and export shipments.

        Closely monitor project KPIs to ensure performance targets are met.

        Plan and schedule all assigned pickups and deliveries on a daily basis.

        Utilize the company’s preferred vendor list and rate structure to determine the most cost-effective and efficient routing for customer shipments.

        Arrange timely pickup and delivery of shipments through proactive communication with shippers and consignees.

        Understand and meet customer requirements while ensuring consistent operational execution and service levels.

        Maintain regular communication with customers to provide shipment updates, report delays, and advise on any additional costs.

        Review active jobs and related quotes daily to identify opportunities for generating additional revenue and pass-through charges, improving overall profitability.

        Maintain continuous communication with Move One offices to ensure all necessary documentation and shipment information is relayed accurately and promptly.

        Prepare and submit accurate daily reports to management.

        Update shipment status and costs in the Move One database daily, in accordance with established SOPs.

        Work to minimize operational costs, optimize efficiency, and enhance overall profitability.

        Maintain a Sell vs. Cost file at all times and ensure it is available for management review.

        Ensure jobs are kept ready with sell rates and costs at the time of departure from origin; avoid accumulating billing tasks until after shipment delivery.

        Chase vendors for invoices promptly upon completion of their services.

        Support any other duties or projects as assigned by the direct supervisor to meet evolving business needs.
