Senior Executive Assistant & Office Manager

About the Role

We are seeking an accomplished and highly organised Senior Executive Assistant & Office Manager to support the Founder

across businesses and investments in the UAE, India and the United Kingdom.

The portfolio includes established education and real estate businesses in India, companies in the UAE and UK, and new

investment opportunities. The Group also plans to establish a UAE family office to manage its growing global investment

portfolio.

This is a high-trust role combining executive assistance, cross-border business coordination, meeting management and

responsibility for the smooth operation of the Dubai office.

Key Responsibilities

Executive Support

– Manage the Founder’s calendar, priorities and appointments across multiple businesses and time zones.

– Prepare meeting agendas, briefing notes, presentations and supporting materials.

– Review incoming correspondence and highlight matters requiring the Founder’s attention.

– Handle confidential business, investment and personal information responsibly.

– Ensure the Founder is fully prepared for meetings and key commitments.

Global Business Coordination

– Act as a central coordination point between the Founder and senior leadership teams globally.

– Liaise regularly with executives and functional heads at Woxsen University, SLP and the Group’s other operating companies

globally.

– Maintain visibility over key developments, deliverables, approvals and deadlines.

– Ensure effective communication between the Founder’s Office and management teams.

– Coordinate matters across different jurisdictions and time zones.

Meetings and Follow-Up

– Attend selected Woxsen University, SLP, UAE, UK and investment-related meetings with the Founder.

– Prepare concise meeting minutes capturing decisions, action points, responsible persons and deadlines.

– Maintain a central action and decision tracker across priority businesses.

– Follow up with CEOs, senior executives and stakeholders on behalf of the Founder.

– Provide regular summaries of outstanding actions, delays, risks and matters requiring attention.

– Coordinate board, management, investment and adviser meetings.

UAE Business and Investment Coordination

– Coordinate administrative matters for the Group’s UAE companies.

– Liaise with free-zone authorities, banks, auditors, tax advisers, lawyers and other professional advisers.

– Maintain corporate records, licences, contracts, compliance calendars and renewal dates.

– Support the establishment of new companies, investment vehicles and business ventures.

– Coordinate documentation and meetings relating to potential investments and partnerships.

– Support the development of the Group’s family-office operations in the UAE.

India and UK Coordination

– Coordinate information and follow-ups with the Group’s business teams in India and the UK.

– Track key management decisions, business reviews and strategic initiatives.

– Organise the Founder’s business visits, meetings and schedules.

– Ensure important reports, documents and approvals are completed on time.

– Maintain organised records relating to international entities and investments.

Dubai Office Management

– Ensure the professional and efficient operation of the JLT office.

– Manage suppliers, service providers, facilities, IT coordination and office administration.

– Welcome senior visitors and coordinate meetings professionally.

– Supervise front-office and administrative support staff as the team expands.

– Maintain effective filing, document-control and information-management systems.

– Help establish processes for the Founder’s Office and future family office.

Candidate Profile

– Bachelor’s or Master’s degree in business administration, management or a related discipline.

– At least 3-5 years of experience supporting a Founder, Chairman, CEO or senior business leader.

– Previous UAE experience is strongly preferred.

– Experience coordinating senior stakeholders across multiple businesses, countries and time zones.

– Exposure to Indian and/or UK business environments would be advantageous.

– Experience in a diversified business group, Chairman’s office, family office, investment company or professional-services

organisation is preferred.

– Exceptional written and spoken English.

– Strong ability to prepare professional minutes, executive summaries, presentations and action trackers.

– Excellent organisational and stakeholder-management skills.

– Proficiency in Microsoft Office, Google Workspace and modern productivity platforms.

– Willingness to travel occasionally when required.
