Project Coordinator and Admin – Corporate OHS LLC
Job description:
We are seeking a highly organized and proactive Admin/Receptionist to join our dynamic team in Dubai. The ideal candidate will be the first point of contact for clients and visitors, providing excellent administrative support to ensure smooth daily operations. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently.
Responsibilities:
Project Coordination
- Coordinate with internal teams (design, site, operations) to ensure project timelines are met.
- Track project milestones, deadlines, variations, and approvals with daily updates.
- Prepare and maintain project documentation including schedules, Procurements, document control, and reports.
- Support the Project Director with scheduling, reports, and follow-ups.
Procurement Duties
- Source, evaluate, and negotiate with vendors for materials, furniture, and services.
- Prepare purchase orders, monitor lead times, and track deliveries.
- Maintain and update supplier database with pricing, specs, and quality history.
- Coordinate with site and design team for material samples, approvals, and technical matching.
- Ensure all materials meet aesthetic and quality standards.
- Handle logistics and delivery schedules to match installation timelines
- Liaise with finance for vendor payments, invoicing, and budget tracking.
Administrative Support
- Manage documentation: contracts, LPOs, NDAs, project les, etc.
- Coordinate meetings, calendar invites, and client presentations.
- Support HR and accounts with onboarding, payroll records, and compliance if needed.
