Operations Manager – crownxhub

About the Role

We are seeking on behalf of our client a highly capable and proactive Operations Manager to take ownership of the operational backbone of our growing Forex/CFD brokerage. This is a hands-on role suited for someone with strong experience in MT5 management, CRM administration, payment operations, and the development of robust internal processes across departments. You will play a pivotal role in ensuring the smooth functioning of all operational workflows, with a mandate to enhance efficiency, scalability, and compliance.

The successful candidate will be expected to work autonomously in the initial phase, taking the lead on creating and documenting workflows, building internal routines, and setting up systems. As the company grows, your responsibilities will expand to include team oversight, cross-functional support, and strategic input into operational enhancements.

Key Responsibilities

1. Trading Platform (MT4/MT5) Oversight

  • Manage MT5 back-office operations, including account creation, group settings, symbols, and configuration.
  • Liaise with liquidity providers and bridge providers to ensure seamless execution and accurate reporting.
  • Monitor trade flow and address platform-related anomalies in real time.
  • Assist with upgrades, maintenance, and platform troubleshooting.

2. CRM Administration & Partner Management

  • Oversee the full lifecycle of the CRM, ensuring seamless client onboarding, lead management, and automated reporting.
  • Configure CRM integrations with trading platforms, PSPs, and communication tools.
  • Manage IB/affiliate structures, rebate logic, and partner portal functionalities.
  • Work closely with commercial teams to support partner activation, document handling, and performance tracking.

3. Payment Operations & Reconciliation

  • Supervise daily deposit and withdrawal activities, ensuring timely and accurate processing.
  • Manage integrations and relationships with multiple payment service providers (PSPs).
  • Reconcile client transactions across PSPs, trading accounts, and CRM systems.
  • Identify bottlenecks in payment flows and implement solutions for faster processing.

4. Internal Process Creation & Cross-Departmental Workflows

  • Design and implement standard operating procedures (SOPs) across all operational functions.
  • Maintain a central repository of process documentation and internal guidelines.
  • Lead efforts to automate repetitive tasks, reduce manual error, and improve operational response times.
  • Collaborate with Compliance, IT, Legal, and Client Support to enhance interdepartmental efficiency.

5. KYC/AML Compliance Support

  • Conduct and review client KYC/AML checks in accordance with internal risk policies and external regulatory standards.
  • Maintain accurate records and audit trails within the CRM.
  • Assist with the preparation of compliance reports and internal audits.
  • Monitor affiliate activity and escalate non-compliant behaviours.

6. IT & Infrastructure Coordination

  • Provide basic IT support across hardware, VoIP systems, networks, and internal tools.
  • Coordinate with external IT providers for server maintenance, cybersecurity, and office infrastructure needs.
  • Oversee backup routines, system access logs, and uptime monitoring.

7. Team Coordination & Growth

  • Assist in hiring, training, and mentoring junior operational staff as the team expands.
  • Coordinate shift coverage, task assignment, and workload balancing to ensure 24/5 operational support.
  • Play a key role in internal performance reviews, KPIs, and team feedback loops.

Key Requirements

  • 5–7+ years of experience in Forex/CFD brokerage operations, ideally with exposure to multiple departments.
  • Expert-level understanding of MT5 platform management, trading infrastructure, and liquidity bridges.
  • Proven experience with CRM systems, partner structures, rebate setups, and workflow automation.
  • In-depth understanding of payment processing, PSP integration, and transaction reconciliation.
  • Solid foundation in KYC/AML procedures and regulatory documentation.
  • Comfortable working across tech stacks, including VoIP systems, internal servers, and IT troubleshooting.
  • Exceptional problem-solving, organisation, and communication skills.
  • Proficiency in Microsoft, Excel reporting, and operational dashboards.
