Admin Executive (HR, Accounts & Office Administration) – Euroland IR DMCC

Job Purpose

The Admin Executive will independently manage administrative operations, coordinate HR and basic accounts activities, handle company and employee-related renewals through relevant authority portals, manage invoicing and receivables follow-up, and ensure smooth and compliant office operations. 

Key Responsibilities

Administration & Office Management 

• Manage day-to-day office administration and ensure smooth operations.

• Handle office supplies, vendor coordination, service providers, and maintenance.

• Maintain organized records for company documents, contracts, and statutory files.

• Coordinate administrative requirements with management. 

HR Administration

• Maintain employee personal files and HR documentation.

• Coordinate employee onboarding, offboarding, and internal HR processes.

• Track employee leave, attendance, and HR records.

• Coordinate payroll-related inputs with management or external consultants. 

Company Renewals, Visas & Portal Management

• Independently manage company-related renewals and submissions, including:

o Trade license renewal o Establishment-related renewals

o Other statutory and compliance requirements

• Handle employee visa applications, renewals, amendments, and cancellations through relevant authority portals.

• Liaise with free zone authorities, service providers, and government service centres as required.

• Ensure timely compliance with applicable regulations and deadlines. (MOHRE and GDRFA are not applicable)

Accounts Support & Receivables Follow-up 

• Prepare and issue customer invoices accurately and on time.

• Dispatch invoices to clients and maintain proper documentation.

• Follow up with customers on outstanding receivables and payments.

• Maintain basic invoicing and receivables trackers.

• Coordinate with internal accountants or finance teams as required. 

Qualifications & Experience 

• Bachelor’s degree in business administration, Commerce, HR, or a related field.

• 3–5 years of UAE experience in an Admin / Office Executive role.

• Hands-on experience with company portals, visa processing, and renewals is preferred.

• Basic understanding of invoicing, receivables, and accounting coordination.

• Prior exposure to HR administrative functions.

• DMCC portal and free zone administration experience is preferred. 

Skills & Competencies 

• Ability to work independently with minimal supervision.

• Strong organizational and follow-up skills.

• Good understanding of UAE administrative and compliance processes.

• Proficiency in MS Office (Excel, Word, Outlook).

• Clear communication skills in English (Arabic is an advantage).

• High attention to detail and deadline-oriented approach.
