Admin and HR Executive – Job Description

Education:

Bachelor’s degree in Business Administration, Human Resources, or a related field.

Professional Experience:

3 to 10 years of experience in a combined administrative and HR role within the UAE.

Familiarity with UAE labor laws, visa processes, and regulatory requirements is essential.

Working Hours:

9:30 AM to 6:00 PM (6 days a week).

Coordination With:

The role will require coordination with Management, Accounts, Purchase Office, and other key stakeholders.

Key Points:

  • This role is with a start-up, so knowledge of UAE start-up laws and licensing processes is critical.
  • The position is more focused on administrative tasks (70%), such as inventory management, procurement, travel, and visa-related processes.
  • The HR aspect involves ensuring compliance with UAE labor laws, including gratuity and social security updates.

Administrative Responsibilities:

Office Management:

  • Oversee daily office operations, ensuring a well-maintained, organized, and professional workspace.
  • Manage office inventory, including stationery and supplies, and handle procurement activities.

Scheduling and Coordination:

  • Manage calendars for executives, scheduling meetings, appointments, and travel arrangements.
  • Coordinate logistics for internal and external meetings, conferences, and company events.

Documentation and Reporting:

  • Handle company correspondence, including emails, letters, and official documents.
  • Maintain an efficient filing system for both physical and digital documents, ensuring easy retrieval and confidentiality.

Vendor and Service Provider Management:

  • Negotiate and manage contracts with vendors and service providers to ensure cost-effective solutions.
  • Monitor service quality and maintain strong relationships with third-party providers.

Budget and Expense Management:

  • Track office-related expenses and manage budgets for administrative activities.
  • Prepare financial reports and forecasts to assist with cost management.

Human Resources Responsibilities:

Recruitment and Onboarding:

  • Manage end-to-end recruitment processes, including job postings, candidate screening, interviews, and onboarding of new employees.
  • Conduct orientation programs to familiarize new hires with company policies and procedures.
  • Experience with recruitment portals and tools is required.

Employee Records Management:

  • Maintain accurate employee records, including personal details, contracts, performance evaluations, and leave balances.
  • Ensure timely renewal of employee visas and labor contracts.

Compliance and Policy Implementation:

  • Ensure compliance with UAE labor laws and regulations.
  • Regularly update and enforce company policies, ensuring alignment with local legal requirements.

Payroll and Benefits Administration:

  • Process payroll, including verification of attendance, overtime, and leave records.
  • Administer employee benefits such as health insurance, annual leave, and end-of-service benefits, ensuring compliance with gratuity and social security guidelines.
